  August 17th, 2004 Meeting Minutes  

Members Present: Guy Stinger, Lisa Stinger, Tracy Burland, Brad Lee, Wade Shepard, Traci Shepard, Chuck Morigeau, Chuck Reese, Shirley Burland, Walter Simon, Stef Nordberg, Carrie Benson, Josh Burland, Lynn Olsen, Richard Jones, Traci Jones 

Guy called the meeting to order at 7:15. 

Tracy gave the financial report. $3970 in checking account. 

Tracy discussed the trip to Canada that he, Walter and Shirley took for the friendship trail and to check out the track. At Race City, the gear ratio is the same that they had previously thought. There will be camping available at the track. Pits are in the infield, we will be able to stay in the pits for approximately 1 hour after the races. Bill Olson from Community Banks will be doing a BBQ after the race. They left 300 magazines in Calgary to promote the race and the friendship trail. We will also pass more out at the race. Race City will open the track at 1:00 for practice. They also gave permission to do a raffle. It was previously discussed to lower the raffle ticket prices, this was approved. Glenmore Inn is the official motel for Race City and will give a special race rate of $79 (Canadian). 

Discussion was held on the line-ups for the race. Chuck Morigeau motioned to line up the trophy dashes by time-in's with odd/even races. (Same as in Ephrata) Wade seconded. Motion passed unanimously.

Stef will make a list of people crossing the border, with approximate times to leave at the crossing. Race City was also asked to contact the border so they know we are coming. 

Admission is $20 per driver/car; $15 pit man; $12 front gate. All extra vehicles must be taken out of the pits. Tracy discussed with the Race City officials the possibility them matching the $3000 that we have in sponsorship for next year’s race. There is a Canadian class that may be interested in racing with us in the future, and possibly doing an American/Canadian series. 

Walter made an info packet with contacts, maps and information from Race City. He submitted a bill for the copying expense. He has finished a press release that will be going to local media and to Rooney (Media Relations at Race City). He discussed the concept behind the Friendship Trail. The cities want to get people thinking about taking driving vacations between the Flathead Valley and Calgary, and doing races between Kalispell and Race City. 

Walter is taking 3 cameras to the race. He needs at least 2 more operators, possibly 3. 

KwaTuqNuk would like to have cars to display there on Thursday before leaving. 

Lisa asked if a pit boss was needed. She will stay in the pits and do the line-ups, but then may go to the stands if she's not needed. 

Walter has a half-hour of programming done from the Ephrata race. He will add about another 1/2 hour from Calgary and let us know when it will air. 

Need to start thinking about races for next year. When, where and how many total races we would like to have. Tracy would like to have an idea before going to the promoters meeting. 

Discussion was also held on a banquet for this year. Will discuss this more after the race. 

Stef asked that everyone look at their driver profile on the web site to make sure that everything is correct, and to make sure all sponsors are listed. She will also make corrections to the insert before printing for Calgary. 

Kyle may be able to ride up with Lynn for announcing. If he is unable Race City's announcer will be able to do it. Possibly have someone from BSPRA sitting up with the announcer to provide more information. 

Race City needs a list at the gate of BSPRA officials. Stef will make badges for the officials to wear that night. 

Discussion was held as to racing under yellow. Tracy said that they race to the yellow, but then the pace car comes out and the laps under yellow don't count. It was agreed to wait and discuss this with Race City and do as they do as to not confuse their safety crew or pace car. The decision will be announced at the pit meeting before the race. The car causing the yellow still goes to the back of the pack.  

Tracy brought up the idea of getting something to autograph for kids after the race. Stef suggested getting photos printed off the disk from Ephrata and then signing them. Can go to Wal-Mart and print copies. Stef will make up a small book with some race oriented games, coloring pages etc. to hand out.  

Lisa asked about the jackets that were ordered from American Racer. Tracy has talked to them, and they didn't have enough jackets in stock, so they are waiting to get more. 

Lisa motioned for adjournment at 8:15.
