  April 7th, 2005 Meeting Minutes  

Present: Lisa Stinger, Guy Stinger, Tracy Burland, Brad Lee, Lynn Olsen, Chuck Morigeau, RJ Olsen, Shirley Burland, Carrie Benson, Doug & Robin, Jake Paul, Jarred Burland, Wade Shepard, Traci Shepard, Jerry Taber

Guy called the meeting to order at 7:05 p.m.
Brad gave the financial report: $2113.71 in checking account, $3595 accounts receivable, $1211.70 assets.

Chuck talked with Doug and Robin and they are interested in catering the beer booth at the swap meet but need more information. It had been discussed to have a $100 booth rental, but with their licensing, they can’t pay rent, must be invited. It was agreed that they will be invited and will provide beer and possibly mixed drinks; this will be left up to them, if they want to bring the hard alcohol. Bud is a sponsor of the event so would like them to bring their products. They said that they may be able to get a deal from the manufacturer and possibly sell their products at a lower cost and that they will highlight their products with signs.

Tracy has pre-sold 57 tickets so far for the radio give-away.

Next Saturday Shawn Wells is going to build the track at the fairgrounds. Meet at 1 pm. Still need straw bales; Lynn think that he found around 100, RJ may be able to get 50, Shawn may be able to bring some from Missoula.

Booths: Car Club is trying to commit to 10 booths; they are having a meeting this week. Alan Gibbs is paid, Gotta Hava Java is paid, and Ron Boyce has the rental paper and will drop off tomorrow. Brenda Jones wants to set up to serve breakfast starting at 6 on Saturday. Monique McDonald may get a booth for the youth group to sell fry bread.

Liability insurance through Bishop is $518.75. Brad motions to pay. Lisa seconds the motion. Motion passed unanimously.

Workers: Dennis DeVries can’t make it. Brenda’s daughters may want to help. It was discussed how we will ID workers. We have a stamp for the swap meet gate, and will use the checkered flag for the Race gate, so it was decided that we will use the American Flag band for the workers. We will use the stamp for the car club, 2 people per car.

MVS proposal: Jerry wasn’t at meeting on Monday but did meet with the board last night. The proposal has been signed and accepted as printed, minus the hand written addition. All current board members have signed and agreed upon this. BSPRA sent a letter to Tribal Lands Department stating that an agreement has been reached.

Need to get a check for $350 to PFI for the rental on the fairgrounds. Then will need to give them a $2000 check the day before as a deposit that they will hold and return upon clean-up.

Stageline has given $500 toward BSPRA point’s fund. They also bought $20 in radio tickets and may rent a booth to sell pizza. They talked with Tracy about having a meet the drivers dinner/family night. Dave would split the cost for pizza. Will discuss this more after the swap meet is done and possibly set up a date.

Anderson Broadcasting has sponsored a $300 jacket for the 3rd place in the year-end points.

Lynn asked about need for new application to become a driver. Don’t need approval for a general member that has already been accepted to become a driver, just have to pay for the car registration. New drivers can elect to go to the back in a race. It was decided that the flagman is in charge of the race, and he would make the call if they are hazardous during the race.

RJ has the tech sheet done. Will need a spot for infractions that the driver will sign and knows needs to be fixed before the race and then will be teched before the race to make sure that all are fixed. If there are infractions at any time of the year, the car is stripped of all points.

Because we are growing, it was discussed that we will want to do inspections at the end of the night of the top three. It was discussed about drawing one at random so that any car could be inspected on any night. May want to find tech people so that the drivers wouldn’t have to do this right after racing. If the tech person found a problem, then they could call all of the drivers over at that time. Will see if Chuck Swope would be interested. Jarred motioned to tech the top three cars, with a 4th car teched at random. Lisa seconded the motion. Motion passed unanimously. Will have someone from the audience draw the 4th car number as the race ends.

Membership Application: Angela Topash. Chuck motioned to accept. Jarred seconded. Motion passed unanimously.

Pace Car: It was decided to make this part of the standard show. Will talked to Janice about using her car, and will ask Kirk if he has any magnetic lights that would be able to use.

Wade can’t make the tech day on May 7th. Will set up a separate date at his shop.

Next meeting will be April 14th, 7 pm, Plum Creek.
Traci motioned to adjourn at 8:30 pm. Lisa seconded. Meeting adjourned.
