Guy called the meeting to order at
7:10 p.m.
Brad gave the financial report: no changes since last
week.
Members did meet Saturday 26th
at the Polson Fairgrounds to get a lay-out. Shawn Wells
came up from Missoula to get look at and set up for the
track. The PA system can be run from the spectator
side, has hook ups and power.
Need to decide how many workers
are needed for throughout the day. We will need people
for Tickets, Crowd Control, and Parking. Tracy suggests
that we all help with set up and throughout the day so
that we will be available to help during the race.
Courtney said that she would be willing to work the
front gate.
The licensing for selling beer is
$1,000 for a special event permit. Tracy asked Chuck M.
if the Morigeau’s would be interested in catering the
beer like they have done at other events in the past.
Price was discussed and was decided that would be $100
booth and they would make all profits. Chuck will ask
them; also need to know if they have insurance that
would cover them, or if we would need to get that.
Booths can now be purchased on
line with a credit card or through pay-pal. There are
people that are coming up from the Bitterroot with the
racers that are interested in booths. Tracy has also
talked with Mike Allen Performance, Ron Boyce (Slot Car
Racing), Mission Valley Cruisers (probably 5 booths)
and Outlaw Carts (probably 5 booths).
Courtney has a stamp to use at the
front gate. Outer Gate throughout the day will be $2.
When the races are starting will just take tickets at
the entrance to the stands. Car Club gets 2 wrist bands
per car. The wrist bands are here, will use these for
the race gate, and will have crowd control to make sure
that people have paid.
Bill: $87.04 for wrist bands. Need
to reimburse Tracy. Motion to order the wrist bands
were approved at previous meeting. Wade motions to
reimburse Tracy. Lisa seconded the motion. Motion
passed unanimously.
Shawn Wells is planning to build
the track on April 16th. We need 300 straw
bales for around the track, everyone is to look for
supply. Smith Paving may provide a road grater for the
track; Tracy will talk with them again. April 23rd
will be a work party to mark off booths and get set up
done. Outlaw Carts are expecting 10-20 people that will
camp at the fairgrounds Saturday night and possibly 10
that will come on Friday night. We have approval for
the racers to camp. Shawn thought that they may have
some wrist bands that they will use at their gate and
to show who is camping.
Tracy has been pre-selling tickets
that will be given away on the radio with sponsor
mentioned advertising. Estimated $600 toward purse.
MVS Letter: received a proposal
letter from them. Jerry and Shawn Blixt are here
representing MVAR. Letter was discussed and some
adjustments were made. Terms of the proposal were
agreed upon. Lynn called Duane to get his input as a
board member. Duane motioned to accept the proposal
with said adjustments (see attached below). Brad
seconded the motion. Motion passed unanimously.
Carrie will make changes to the race agreement and
email board members so that they can get it signed
tomorrow.
Tracy motioned that BSPRA pay
BSPRA official’s entry fees at MVS. Wade seconded.
Motion passed unanimously.
Membership Application: Tim Long
applied for general membership. Chuck Morigeau motioned
to accept. Wade seconded. Motion passed unanimously.
Next meeting will be Thursday
April 7th, 7 pm at Plum Creek
Meeting was adjourned.
