Guy called the meeting to order at
7:20 p.m.
Brad is unavailable. Tracy gave the financial report:
$1890.75 checking account balance; $3595 accounts
receivable; $25 tires; equipment $1211.70 (including
the Carb Gauges that got here this week). Total
memberships paid: $380. Pre-sold race tickets for radio
give aways: $135.00
Radio Ads/Give-aways: Tracy did
talk with the radio station asking about doing give
aways with tickets that would be prepaid. They said
that would be fine and they will mention the sponsor of
the tickets. Tracy posted swap meet posters on Main
Street in Polson and talked with some of the businesses
about sponsoring tickets and has sold $135 so far:
Polson Auto Parts-$50, Mr B’s Limo-$25, Tracy’s
Auto-$25, Marilyn Frame Polson Hallmark-$25, Terrace
Flowers-$10. There are other businesses that he will
check back with. The Polson Business Promoters have a
meeting tonight and were going to discuss the pre-sale
tickets and swap meet. The Radio Station may also do a
live broadcast the morning of the Swap Meet.
Booths: Mike’s Performance wants
booth, Tracy will take in a registration form. Ron
Boyce contacted Tracy and has a Slot car track that he
would like to bring, but needs a 30 X 30 space. It was
discussed to put him on the end of a row where he would
have enough room. The Valley Cruisers will also buy
booth for information on their activities. Carrie will
get the registration available online and set up pay
pal.
Wrist bands have been ordered. 2
boxes: one American flag and one checkered flag.
Will meet this Saturday 26th,
11 a.m. at the Fairgrounds with Shawn Wells so
that he can get an idea for the layout and to plan the
booth layout. Will go on Friday before the meet to
chalk out the booths and mark with flags. Tracy will
check with Westland Seed about small flags for marking.
Workers: will need Parking and
Crowd Control to check for wrist bands for the race.
The Polson Business promoters may help with this.
Insurance: don’t have quote yet.
The beer licensing is separate and they need more
information before we can get the quote. Bud will do
the banners once we get all the information and
approval.
Need to get a plastic tank with
ability to water down the track. Chuck will check on
this. Need ambulance, Tracy thinks that they will come
without charge.
MVAR sent a letter to the tribe
stating why they haven’t given BSPRA race dates. The
tribal council told them that they need to work with
us. MVAR sent a possible proposal to BSPRA tonight.
(See Attached Below). The consensus was that this
proposal was written knowing that it would be
unacceptable and that we would decline it, and then
they could say that they tried working with us and that
it was us that declined their offer. They also titled
it a “possible proposal” and was not signed by the
president or chairman of the board. Wade motioned to
decline the possible proposal. Chuck seconded. Motion
passed unanimously. We then worked on a response
letter to send to MVAR. Traci will type up the letter
and send it to the board members to sign. By looking at
MVAR’s tentative schedule we came up with the dates:
August 27th and September 17th.
Attached to the response letter will be a BSPRA event
agreement that will ask them to sign and return if
satisfactory. We will ask for a response by March 31st.

Paul. Tracy motioned to accept membership. Chuck
seconded motion. Passed unanimously.
Next meeting will be March 31st.
Chuck motioned for adjournment. Lisa seconded. Meeting
adjourned at 9:05 p.m.
