  March 2, 2006  Meeting Minutes  

Present: Duane Olsen, Guy Stinger, Lisa Stinger, Heidi Trytten, Tracy Burland, Carrie Benson, Ronnie Burland, Shirley Burland, Josh Burland, Wade Shepard, Traci Shepard, Chuck Morigeau, Lynn Olsen, Jarred Burland, Janice Olsen

 Guy called the meeting to order at 7:25.
Wade gave the financial report. We have about $400 in the checking account but don’t have the full financial report.

Membership paid: Heidi Trytten

Discussion was held on Friday night races. Tracy has been attending Tribal Council meetings but no decision has been made. MVAR was given our sublease offer after our last meeting, but they didn’t respond until the next week. They had issues that the board then responded to and Ranold has all the paperwork now. Will await his advice and a decision from the council.

Sprint Cart race: Tracy talked with Sean and they have agreed to the $1000 purse and the date of April 29. Tracy talked with Brian Jones about renting the Fairgrounds and he didn’t see a problem, but will check the schedule and get back to us if there’s a conflict. He said that camping will again be available. Duane moves to accept the terms of: Carts provide the race line-ups, insurance, trophies and pit boss and they will receive $1000 purse and collect the back gate. BSPRA will provide radios, flagman, corner flaggers and will build the track. Wade seconded the motion. Motion passed unanimously.
Tracy would like to invite the Vets from Ronan to set up their BBQ and possible be able to sell beer; Tracy will contact them. He will also ask them to present the flags. Expenses were discussed: 600 for special event insurance; 300 radio ads; 150 posters; 150 ambulance; 350 rent; 1000 purse for a total cost of 2550. Duane moves to charge $5 at the front gate with 6-under free. Chuck seconded. Motion passed unanimously. It was discussed about having a cooler night, can bring in a cooler-front gate would ID and check for no glass containers and have wrist bands. Chuck moves to charge $5 per cooler. Wade seconded. Motion passed unanimously. Jack Cross has said that he will donate fireworks. Wade motions to accept the $2550 budget. Lynn seconds. Motion passed unanimously. Last year we pre-sold tickets that were then given away on the radio, and it was discussed to do the same this year; Duane and Carrie will work on making tickets. Will also need to decide on tickets that will be given away to sponsors etc. Lynn and Wade will work on getting hay bales.

Race Season: We have been waiting to hear about the sublease before getting sponsorship and posters out. It was discussed on getting posters made now with our confirmed race dates, then if we have some Friday races will make separate posters with those dates. Carrie and Duane will work on designing posters for the race dates and also one for the Cart race.

Duane motions that we have Tech Day on May 6th (2 weeks prior to first race). Wade seconded. Motion passed. Seals were discussed. They have been ordered and will be here in a couple weeks. Discussion was held on sealing cars that have previously passed teching, if need to take apart and check. Chuck motions to seal any engines that are together and were teched and passed tech last year. If any engine is apart, or taken apart during the year, they would then have to be checked and resealed. Duane seconded. Motion passed unanimously. Duane will bring a drill press to teching.

It was discussed to take the radios somewhere to get worked on. Was decided to get an estimate first and Wade will call on this.

Need to get frames for the sponsor Thank-you’s, then Tracy will give these out when he talks with them about this year. Duane will check on these. Will need approximately 35 5x7 frames.

Shirts: $10 for t-shirts and $20 polos with additional $5 if you want your name embroidered. Lynn motioned to have blue polo shirts for officials and board members and blue t-shirts for members. After discussion, motion was revised by Lisa: Members will receive a blue t-shirt with membership, with blue polo shirts for officials and board members and can buy additional t-shirts for $15. Motion passed unanimously. Everyone to get list of how many t-shirts and sizes to bring to the next meeting.

Wade would like a couple of guys to look at his car as he has a new rear end and needs to see if it will pass tech before putting car back together. Tracy brought up that people have been asking about having a get together before the season starts and suggested that could do this at Wade’s shop and also look at his car at this time. Pre season get together is planned for March 11th at Wade’s, Potluck and BYOB, starting at 6 p.m.

CD recording: Will wait until Walter gets back to set the date. Lynn has gotten the script and is looking for the music. He said just to let him know when and he will be there.

Josh motioned to adjourn at 9:00. Next meeting set for March 9th. Meeting adjourned.
