Present: Guy Stinger, Lisa
Stinger, Tracy Burland, Walter Simon Wade Shepard, Brad
Lee, Traci Shepard, Ronnie Burland, Shirley Burland,
Josh Burland, Duane Olsen, Carrie Benson
Guy called the meeting to order at
7:15 p.m.
Wade gave the financial repost: Last statement that he
has from Carol is dated Sept 8th. We do not
have any outstanding bills.
Guy asked about the engine seals,
and that we need to order them before our teching.
Tracy stated that he will order them. Tires took 3
weeks to get here last time we order so will also need
to order these beforehand.
Tracy has talked with Total
Screen about getting shirts but they have not finalized
a price.
Membership application: Tom
Bartel. Duane motions to accept. Wade seconded. Motion
passed unanimously.
Memberships paid: Ronnie Burland, Tom Bartel, Angela
Olsen, Bobbie Butler.
Duane visited Port Angelus and
brought back pictures of the track and got visitor
information. He stated that there is no banking (5
degrees) in the corners. There are some concrete pads
along the front stretch. He states that it is 600 miles
which he thinks will take approximately 12 hours. He
also has the Fare and schedule for ferries.
Tracy talked with the owner of PAS and he stated that
he would like to know if we are short and cars and that
he would throw some local cars in with us. Tracy
explained to him that we would have to tech their cars
and would have to discuss a membership waive if there
is any that are interested in racing that night. Don’t
have a completed race agreement with them, just waiting
for prices on the front and back gate. Tracy did talk
with them about camping at the track, and Duane said
that there is a nice camp area.
Shawn Wells had contacted Tracy
about having another Sprint Cart race at the fairground
as he has racers wanting to do it again this year.
There were some concerns after last year’s races: Tracy
suggested that we cut the purse as they didn’t stay and
help clean up and get the fairgrounds back to order. He
also talked with Shawn about us doing all the prep work
and getting the track done, all they would have to do
is show up that night and bring the line-ups and their
own insurance and they would get the back gate. BSPRA
would do all set up, clean up and run the races and get
the front gate. Tracy has talked with Derek and he
would allow use of his road grater again, and has
gotten access to the water tanks. He suggested that we
ask the Vets if they would like to cook and he thinks
that they are able to sell beer. Could also ask them to
present the flags. We wouldn’t have booths, but if
people asked about them, would have the same deal as
last year, $35 a spot. Jack Cross stated that he would
give some fireworks, would have to get a permit for
this as it is in city limits. Duane motions to have the
sprint cart race on April 29th. Wade
seconded. Motion passed unanimously.
Tracy is talking with someone
about being a mascot at our races.
The radio station can make a cd
about our group to play at our races. Walter is working
on the script and will get it to Lynn ahead of time.
Recording costs would be between $30 for a ½ hour to
$100 for 1 ½ hours. We would also be able to make
copies of the disc and sent it to tracks that could
then use it if they have any radio ads. Wade motioned
to make the disc. Duane seconded. Motion passed
unanimously. Tracy will get a date with the radio
station.
There was a council meeting on
Monday. MVAR was given a 5 year lease without the
promised meeting with all groups interested. The
council said that they wanted MVAR and BSPRA to deal
together and that they didn’t want to be involved. MVAR
was suppose to have a proposal to us that Monday, which
we received on Thursday. Tracy had a meeting set for
Wednesday and talked with them about keeping it. Tracy
and Walter met with the council on the previously set
date and talked with them about how all groups were not
addressed before giving the 5 year lease to MVAR.
They can sublease the track, even with a primary
leaser, as long as the tribe and the primary leaser are
compensated and it wouldn’t interfere with any dates of
the primary leaser. Ranald offered to mediate and if he
gets the proposal by Friday he would be able to get it
back in a week. He stated that if it is reasonable
compensation and terms then he would advise to sublease
the track. Josh motioned that we ask for July 14th.
Wade seconded. Motion passed. There are some concerns
that if the first night doesn’t work, wanting to go
ahead with the second. Suggestion of having some type
of cancellation clause. Tracy doesn’t think that this
would be a problem with the tribal council. Insurance
would be $1500/night. Prices were discussed and decided
at $8 at the front gate with 6-under free, $20 back
gate, $10 to bring your own cooler. Would need to
clarify the ability to have food vendors in the lease.
Discussed having burn-out and drag races, with possible
other class. Carpenter has 8 cars in their class. They
are looking for track time and would explain to them
that if there is any profit, it would be split equally
between the drivers. Brad suggested that the club would
take some of the profit for operating costs and then
split the remaining. In the sublease also looking to
get availability to Sunday practices. After continued
discussion, Duane motioned that we accept Friday dates
of June 2 and July 14. Lisa seconded. Motion passed
unanimously.
Tracy received the MVAR proposal
today and they have offered May 20th and
August 26th. Pay would be $100 per car with
back gate $25 and 5 officials get in free. Wednesday
hot lapping would still be $10. Duane motioned to
accept. Lisa seconded. Motion passed unanimously. Board
Members signed this agreement and will present it to
the MVAR board at their next meeting.
Schedule with tentative Friday
dates:
(to be determined) TECH DAY
April 29 SPRINT CARTS
May 20 MVAR
June 2 FRIDAY, MVS
June 24 PORT ANGELUS
July 14 FRIDAY, MVS
July 29 EPHRATA
August 26 MVAR
Wade brought up idea of getting
more access to tracks by offering something that they
don’t have and came up with the possibility of
modifying the car bodies into truck bodies. This may
generate more interest from more tracks as they
wouldn’t have a similar class.
Wade also asked about making
rookie’s bumpers set color (yellow or orange) as to be
aware of them, and the crowd would also be able to know
which were rookies. There was some concern with cars
that may have both rookies and experienced drivers.
Next meeting will be Thursday
February 16, 7 pm, Plum Creek. |
