Guy called the meeting to order at 7:05 p.m.
Brad gave the financial report: $1157.80 brought in at
the banquet between tables and silent auction. $250
pay-out for promoters meeting. Received $100 deposit
back from the North Crow Clubhouse. Currently $867.14
in checking account. Already have $2545 in Accounts
Receivable for sponsorship of the 2005 season. Assets:
$225 worth of tires, $1000 scales.
Old business: Tracy and Walter went to the promoters
meeting. Tracy reports that they were well receipted
with many tracks interested in the club. There was a
common problem at all tracks with high money into cars
and changes in rules. These tracks liked the way that
BSPRA is set up and are looking at doing some of the
same things that we have implemented. Tracy got a
signed contract with Ephrata for May 21st
and a confirmed date with
Calgary
for August 27th. Agassiz and Penticton gave
Tracy a list of dates that are open. Agassiz
is about a 10 hour drive.
Showing interest to MVS was re-discussed. It was again
suggested to write a letter. Their elections are on
December 18th. It was decided to wait until
they hold their elections to write a letter so that
their board of directors will be current.
Walter discussed his experience at the promoters
meeting. He emphasized Top-of-the-mind-awareness (TOMA)
and seamless entertainment. He stated we will need to
get a press release as soon as the season is set.
Racing in Penticton was discussed. If we go to Calgary
first, they may implement our rules. If we go to
Penticton first, they would like to get three of their
cars to run with us, we would run by our rules and they
would have to be teched and legal before time-ins. They
would pay $125 per car if we came as our own show. They
also have their big season race with hot lapping on
Friday and racing both Saturday and Sunday with $10,000
pay-out on each night.
Western Speedway in Victoria would also offer a race
date if we would want to drive there (approximately 11
hours). Agassiz
and Penticton run with same rules.
At
the promoters meeting, there was much talk about having
the board set the rules and not letting the racers have
influence over them. Would then be able to set limits
and keep cost down.
Brad is concerned about opening the door to letting
cars “test” by letting Penticton have 3 cars run with
us and then having other racers wanting to do the same.
It was confirmed that the board would decide on
individual bases what is in the best interest of the
club. By allowing three cars in Penticton, they may
implement our rules, and then would be able to get a
series of races going.
Wade motioned to negotiate a date in Penticton and to
allow 3 of their cars to race. Lisa seconded the
motion. Passed unanimously. With the list of open dates
that they provided Tracy, it was decided to ask them
for June 18th, which will allow 3 weeks
between other races. Then their big race would be 6
weeks from then on July 29th which would be
a non-points race for BSPRA drivers.
Agassiz would pay $100 per car. They have July 9th
open, which would allow time between already scheduled
races. Brad would like to pass on getting a date there.
Tracy will talk to all drivers and will discuss again
at the next meeting.
Friendship Trail: Walter working on developing more
with Billie Lee to help. Walter is having a phone
conference to explain and possibly get money to help
going to Calgary and in turn bringing people to the
valley.
Swap Meet: It was discussed to have Spring/Fall events
to bring people from Canada on the Friendship Trail.
Allong with the swap meet would also have a car show,
with cars from Canada, and the Outlaw carts race. Will
use the rodeo grounds to run the cars on. We are able
to get beer permits for day events. Costs: $600 for
liability, $50 rent, $50 beer license. The outlaw carts
said that their purses run from $500-$2000, with the
$2000 usually having a 40-50 car show. There are 18
carts located in Missoula and they have about 150 fans
that travel with them. Income: $25/back gate,
$35/booth, $2/gate swap meet only, $8/swap meet and
race. Talked about doing a 50/50 all day, but must be
present at race to win. Tracy motioned that we hold the
swap meet, car show, and outlaw carts race on April 23rd.
Lisa seconded the motion. Motion passed unanimously.
Tracy will get ahold of Shawn from the Outlaws to make
sure that date will work for them. They offered to
bring a car to the next meeting.
Probationary period for new members was again
discussed. Was talked about having a 2 year period with
no voting. Will table this discussion and talk with
more members.
New Business: Brad has 3 bills that have been
submitted. $53.75 to Lisa for binders from Insty-Prints
that were used to make the rule books. $5.00 to Walter
for photo copies at UPS Store. Also has a receipt from
Tracy for $296.73. Previously gave approved $250 for
the promoters meeting, so owe
Tracy
the difference of $46.73. Wade motioned to pay all 3
bills. Brad seconded the motion. Passed unanimously.
Chuck R. wanted to show his sponsorship letter/receipt
that he will be giving all of his sponsor to make sure
that BSPRA was represented okay. Everyone thought that
it was fine.
